What’s the role

As a successful candidate you will work within a small team to provide support to ensure all freight forwarding jobs are booked onto the system and all customer communication is completed in a timely fashion.

Responsibilities & Objectives

  • Handling Air and Sea Freight Export Freight forwarding
  • Dealing with customer queries, pricing, and quoting
  • Ensuring all freight documentation is received on time and is all correct
  • Processing customs clearance
  • Booking deliveries
  • Ensure solid cost control through arrangement of transport solutions
  • Investigating and planning the most appropriate route for a shipment, taking into account the perishable or hazardous nature of goods, cost, transit time and security
  • Maintaining communication and control through all phases of the journey
  • Maintaining current knowledge of relevant legislation, political situations and other factors that could affect the movement of freight
  • Regular review processes and improve plan and strategies.
  • Develop links with Franchise network, Worldwide Agents, Supplier and Customers.
  • Produce Adhoc reports on performance
  • Maintain a cost matrix covering paperwork, agent costs, onward travel as well as any other on costs to support the network to better calculate/improve margin rates and standard costs

What kind of person are we looking for?

The successful candidate should be confident and outgoing, able to use their own initiative and communicate well on the phone.  They should also be IT Literate including Microsoft, word, excel and outlook.  Possessing a confident manner and able to communicate effectively across the various stakeholders.  Experience of freight forwarding of at least 2 years.  Good knowledge of the freight and transport industry.  A desire to develop and progress, further training will be provided.

 

Facilities Administrator /Customer Administrator

What’s the role

As a successful candidate you will work with the General Manager to assist the traffic planner and provide administrative support to ensure all jobs are booked onto the system and all customer communication is completed in a timely fashion.

To ensure office facilities are managed and liaise with H&S manager to ensure all general office and motor vehicle compliance is undertaken.

Responsibilities & Objectives

  • Ensure all customer store deliveries are booked in, once in receipt of the weekly plan
  • Ensure all home delivery customers are booked in, then contacted the day prior to delivery to confirm approximate delivery window
  • Monitor and action the relevant email inboxes and complete the booking schedule for home delivery
  • Ensure all deliveries from the plan are booked onto TMS and drivers name are allocated against each run. Where necessary book onto driver portal
  • Ensure that internal tracking system housekeeping is completed to the required standards – this includes drivers uploading signed PODs via the Speedy APP
  • Ensure all hard copy PODs are filed daily/weekly ensuring they are checked for signature and filed in date order, ready for audit.
  • To assist and cover where necessary the traffic planner in periods of absence and annual leave (full training will be provided)
  • Flexible approach required to cover on-call and spikes in volume
  • Organise office repairs and general upkeep
  • Liaise with Health and Safety manager to ensure facilities compliance is maintained (eg. Fire safety, electrical safety, insurance etc)
  • Motor vehicle compliance and control
  • General office facilities, stationary orders
